|Detailed Job Description:
Manage, develop and lead a high performing Office Services team (facilities coordinators, mailroom services).
Oversee day-to-day facilities operations to include access control, mailroom services, copiers and copy rooms, pantries, supplies, conference rooms, storage rooms, 1st aid supplies, etc.
Monitor and review internal and building work orders to ensure that assignments are responded to and completed in a timely manner.
Manage space planning; workspace assignments, coordinate moves and re-stacks; maintain accurate floor plans and seating charts.
Manages supplier relationships and liaise with Accounts Payables for payment follow-up.
Responsible for invoice processing, approval, and accuracy of cost center coding.
Inspect and provide direction and follow-up with janitorial and other service providers regarding issues that do not meet standards.
Input data into maintenance and budget logs, generate spreadsheets and reports.
Participate in the development of policies and procedures; monitoring work activities to ensure compliance with established policies and procedures; making recommendations for changes and improvements to existing standards and procedures.
Build and maintain strong working relationships with executives, department leads and staff and deliver results based on their needs.
Other tasks and projects as assigned.
3+ years relevant experience managing corporate facilities operations and functions (mail room operations, reception, general maintenance, space/move management, etc.)
Associate Degree or Bachelors Degree
Ability to communicate effectively and professionally with a variety of contacts, including executives, senior management and all levels of employees, as well as outside suppliers and contractors.
Intermediate to advanced Microsoft Office skills (Outlook, Word, Excel).
